For coaches, consultants, clinics, realtors and tutors
Your inbox answered while you are with the client in front of you
OU Chat answers the same twelve questions on WhatsApp and Instagram, qualifies the serious enquiries, books them into your calendar, and hands you the one that actually needs you.
Answers from your own content · Escalates to your phone · Bangla and English in the same thread
You are the practice and the front desk
Nobody trained you to run an inbox. It arrived with the business, and it now decides how much of your week is left for the thing you are actually good at.
The same twelve questions
Price, availability, location, what is included, do you take card, how long it takes, whether you work with people at their stage.
Working out who is serious
Half the enquiries are browsing and half are ready. Telling them apart takes three messages you send while doing something else.
Getting it into the calendar
Offering times, waiting, offering different times. The booking is where an enquiry either becomes work or quietly evaporates.
Reminders and reschedules
The message that prevents a no-show, and the four messages it takes to move an appointment when something comes up.
Following up on the quiet ones
The enquiry that went cold because you were in a session when it landed, and would have stayed warm if anyone had replied that evening.
Being personally present
Some conversations are the reason people chose you, and they deserve your attention. The other forty threads are what steal it.
Whoever replies first usually gets the booking
Enquiries do not wait politely. Somebody messaging three clinics on a Saturday evening books with whoever answers that evening, so by Monday morning your reply is a courtesy rather than a sale. You already know this, which is why your phone sits face up on the table during sessions.
The fix is not replying faster than you already do. It is having the answer given for you, in your words, at the hour the question arrived, with anything unusual handed straight to you.
The same day, with the front desk covered
Nothing here is taken away from you. What changes is the ordering: the routine gets handled while it is happening, and the two conversations worth your time reach you while they still matter.
What it takes, and what stays yours
| The conversation | Handled for you | Stays with you |
|---|---|---|
| Price, hours, location, what is included | Answered from your own words, with the source shown | Writing it down once |
| Booking and rescheduling | Offers real slots and books them | Which slots exist, and how much notice you need |
| Anything sensitive or unusual | Escalates to your phone with the whole thread | The reply, in one line, from wherever you are |
| The relationship | Nothing | All of it. People chose you, and that does not delegate |
There is no draft-and-approve queue today. Every reply is either an answer from your own content or a handover to you, which is a smaller promise than some tools make and one we can keep.
It should sound like your practice, not like software
Tone comes from your own content and a short setup where you answer questions about how you work. Nobody on your side ever writes a prompt.
The language the customer used
Bangla, English, or both inside one sentence, which is how people actually type. It answers in whichever the question arrived in.
Your phrasing, not a template
It takes how you describe your work from what you have already published, so answers read like your site rather than like a support macro.
Setup is a questionnaire
You answer questions about the business and approve the result. Changing those answers later takes a minute and does not need a rebuild.
It says when it does not know
An honest offer to find out costs nothing. An invented answer about a medical question or a price costs the relationship.
Where it will not help
If the answers only exist in your head
The agent works from what you give it. An afternoon writing down what you normally say is the difference between useful and disappointing.
If your pricing genuinely depends
Bespoke pricing does not survive a chat window. The agent can qualify and pass the enquiry to you, which is the right outcome anyway.
Judgement that requires you
Clinical, legal and financial judgement stays with the professional. The agent is set up to hand those conversations over rather than have a view.
Anything you would not put in writing
If you would not send it as a message to a stranger without thinking, do not teach it to the agent.
Questions people ask us
Will my clients know it is AI?
It introduces itself as your assistant and answers in your voice. It does not pretend to be you, and the moment a conversation needs you it hands over rather than improvising.
What if it quotes the wrong price?
It can only quote what you gave it, and it shows the customer where the answer came from. If a price is not in your content it says so and passes the enquiry to you. Update the price list and resync, and the old number is gone.
Can I take over a chat halfway through?
Yes. Claim the conversation and you are typing to the customer directly, with everything already said in front of you. The agent stays out of that thread until you hand it back.
Do I need a website?
No. Train it on a PDF, a price list, a brochure, your YouTube channel or plain text, and run it on WhatsApp or Instagram without a site at all.
How long before it is answering properly?
Minutes to something that works, a few days to something you would leave alone. The gap is usually the questions you answer from memory that were never written down anywhere.
What does it do at 2am?
Answers, qualifies, and books if your calendar is connected. Anything it cannot answer waits in the inbox for the morning, unless you tell it that topic is worth waking you for.
